Type: Hourly/ Full Time

The Opportunity

We are seeking a Virtual Executive Assistant to provide high-level support to the Managing

Partner. This is a hands-on, strategic role that goes beyond traditional admin tasks, ideal for someone who is deeply organized, tech-savvy, and able to anticipate needs before they

arise.

You will work directly with the Managing Partner in a fast-paced environment, playing a key role in streamlining communications, managing workflows, maintaining calendars, and

supporting both personal and business priorities. The right candidate will not only keep

things running smoothly day-to-day, but will also contribute ideas and systems to improve

efficiency and long-term structure.

This is a new and important role within our U.S. office. It requires someone who thrives in a

high-responsibility environment, is comfortable handling sensitive information, and brings a calm, grounded presence to a demanding schedule.

The company is on an ambitious growth path in the U.S., and this is a unique opportunity for someone who wants to get in early, work directly with leadership, and grow alongside the firm.

Key Responsibilities

Daily and Weekly Support

● Be available during core working hours and start one hour before the Partner’s day

● Prepare email and task reviews in advance of the day

● Manage busy and variable daily schedules with a high level of coordination and

planning

● Maintain and update weekly planning and recurring tasks ahead of time (ideally

Sundays or early Mondays)

Administrative and Operational Tasks

● Manage email inboxes, prioritize and flag items for review, and draft responses

where needed

● Handle incoming and outgoing calls on behalf of the Managing Partner (e.g.,

vendors, payment follow-ups, scheduling)

● Coordinate and manage calendars, meeting invites, reminders, and time blocking

● Track and complete recurring weekly and monthly tasks across personal and

business domains

Required Qualifications

● Minimum 5 years of experience in a senior Executive Assistant or Chief of Staff-style

role, supporting a founder or executive with a complex, fast-paced schedule

● Proven ability to proactively manage and optimize executive time, calendar, and

inbox, including advising on priorities and suggesting improvements

● Advanced proficiency in Google Sheets/Excel, with a strong track record of

organizing workflows, checklists, and task systems

● Demonstrated discretion in handling sensitive personal and business information

● Strong written and verbal communication skills, with confidence making calls, drafting

messages, and documenting processes independently

Ideal Candidate Traits

● Experienced in executive assistant roles – minimal handholding required

● Highly reliable with exceptional follow-through

● Trustworthy and discreet, with a demonstrated ability to handle confidential

and sensitive personal/business matters

● Superb Google Sheets / Excel skills, with the ability to organize and manipulate

large datasets

● Excellent written communication, with ability to draft and review

correspondence in the executive’s voice

● Strong verbal communication, able to place and handle professional phone calls

confidently

● Organized and calm under pressure, capable of managing a diverse workload

● Positive and personable, a pleasure to work with

Technology & Tools

● Google Gmail emails and calendar

● Google Sheets/ Excel – highly proficient

● Generally tech savvy

Compensation and Benefits

● Location – remote

● Hours required 40 hours per week Pacific Time USA as follows:

Mon-Thur 4am to 2pm (including a 1 hour break)

Sunday/ Early Monday (pre week planning) – 4 hours (flexible)

● Pay rate – TBC

● Available to start – immediately
