Job Summary:
The Executive Assistant to the Director provides high-level administrative and operational support to the Director, serving as a primary point of contact and facilitating effective and efficient management of the Director’s daily activities, communications, and priorities. Essential Duties and
Responsibilities:
1. Calendar Management and Scheduling: – Manage the Director’s calendar, coordinating meetings, appointments, and travel arrangements – Prioritize and schedule appointments, meetings, and conferences based on importance and urgency – Ensure the Director is well-prepared for meetings by gathering necessary materials and briefing documents
2. Communication and Correspondence: – Act as the primary point of contact for the Director, handling incoming calls, emails, and inquiries – Draft and prepare correspondence, reports, presentations, and other documents as requested – Maintain effective communication with internal and external stakeholders on behalf of the Director
3. Information and Data Management: – Collect, organize, and maintain confidential and sensitive information, records, and files – Ensure the proper filing and retrieval of important documents and records
4. Meeting and Event Coordination: – Coordinate and make arrangements for meetings, conferences, and events – Prepare agendas, distribute materials, and take minutes during meetings as required
5. Travel Arrangements: – Coordinate and make travel arrangements for the Director, including flights, accommodations, and ground transportation – Prepare travel itineraries, documents, and coordinate with relevant stakeholders for seamless travel experiences
6. Project and Task Management: – Assist the Director in managing and tracking various projects, initiatives, and tasks – Coordinate with cross-functional teams and stakeholders to ensure timely completion of projects – Provide administrative support and follow-up on action items as needed
7. Other Duties: – Act as a liaison between the Director and other departments, executives, and external parties – Maintain a high level of professionalism, confidentiality, and discretion in handling sensitive information – Perform other ad-hoc duties and responsibilities as assigned by the Director
Qualifications and Requirements:
Education and Experience:
– Bachelor’s degree or equivalent work experience
– Minimum of 5 to 9 years of experience as an Executive Assistant or in a similar administrative role
– Excellent written and verbal communication skills – Strong organizational and time-management abilities
– Proficient in MS Office suite (Word, Excel, PowerPoint, Outlook)
-Ability to handle multiple tasks, prioritize effectively, and meet deadlines
– Exceptional attention to detail and problem-
solving skills
– Discrete, professional, and able to maintain confidentiality
– Excellent interpersonal skill
Budget: 6 to 8 LPA
